When to activate

You could do so at nearly any day. When you activate the JR Pass, you can select a first day of use that is up to 30 days in the future. So just find a day that you have some time and go past the JR ticket office.

this information is very useful. In case I go to the office and activate the pass let's say in one week future, can I book the trains in the meantime? The booked trains would of course be after the pass's effective date.

Yes, you can start making reservations once the JR Pass is exchanged, even if you don't start using it yet.
